Terms of Reference for Volunteer Program Coordinator

Position Title: Volunteer Program Coordinator

Program: Empowering and Connecting Refugees and Newcomers: A Pathway to a Bright Future

Organization: Hope for Refugees International (HRI)

Location: 100% Virtual 

Reports to: Program Director/ Program Manager 

Duration: 1 year

Overview

Hope for Refugees International (HRI) seeks a dedicated and passionate Volunteer Program Coordinator to oversee and coordinate the “Empowering and Connecting Refugees and Newcomers: A Pathway to a Bright Future” program. This flagship program supports Black African and LGBTQ+ refugees and newcomers in Canada, focusing on providing relevant and up-to-date information, resources, and settlement services to help our members integrate into the Canadian Society and achieve their personal settlement goals.

Key Responsibilities

Program Coordination

  • Develop and implement a comprehensive monthly work plan for the Orientation, empowerment, and Information Sessions.
  • Coordinate and oversee bi-monthly virtual and in-person information sessions tailored to the specific needs of Black African and LGBTQ+ refugees and newcomers.
  • Ensure all program activities align with the goals of providing a welcoming, diverse, and empowering space for all participants.

Partnership and Collaboration

  • Establish and maintain strong relationships with settlement and service agencies, employment agencies, educational and training institutions, and other partners that serve the needs of newcomers.
  • Contact partners to secure presenters and relevant resources for the bi-monthly information and empowerment sessions.
  • Facilitate collaboration among stakeholders to enhance the program’s effectiveness.

Session Planning and Execution

  • Develop session agendas and coordinate logistics for both virtual and in-person meetings.
  • Ensure sessions address topics such as emergency shelters, housing, employment, immigration and refugee protection issues, health (Sexual Reproductive Health, HIV/AIDS, and Mental Health), social services, and more.
  • Provide participants with access to essential information, resources, and referrals.

Communication and Outreach

  • Promote program activities and information sessions through various communication channels.
  • Ensure clear and consistent communication with participants, partners, and stakeholders.
  • Collect and respond to feedback to continually improve program delivery.

Monitoring and Evaluation:

  • Track participation and engagement metrics for all sessions.
  • Collect and analyze feedback to assess the impact of the program.
  • Report on program outcomes to the Program Director and other stakeholders.

Qualifications

  • Strong commitment to supporting Black African and LGBTQ+ refugees and newcomers.
  • Excellent organizational and coordination skills.
  • Experience in program management, particularly in a volunteer or non-profit setting.
  • Strong communication and interpersonal skills.
  • Ability to work collaboratively with diverse stakeholders.
  • Knowledge of the challenges faced by refugees and newcomers in Canada.
  • Proficiency in using virtual meeting platforms and other relevant technologies.
